Commission info

These are the terms and rules for personal commissions by Karin (aka @hena_draws). If you would like to commission artwork for commercial use, please contact me to discuss what you need. For commercial work, terms can be more flexible.

Terms of use

TL;DR version

  • Payment up front or 50/50.

  • No refunds for work already completed.

  • Free revisions only within reason.

  • You must be of legal age to commission me.

  • Don't make money with my work in any way unless you buy the commercial rights add-on.


Will do

  • Most kinds of RPG characters and other OCs. Fictional characters only. Might draw fanart on a case by case basis.

  • Pets and animals.

  • Items, props, objects.

  • Artistic maps.

  • Best results for: humans and humanoids (including older people), regular animals. Items, maps, and anything that's already in my portfolio.

  • Like most artists, I have my artistic strengths and preferences. If you ask me to draw something that is not similar to anything in my portfolio, you accept that the outcome might be different from your expectations. I might also decline a commission if I feel like I cannot deliver a good result.

Won't do

  • NSFW.

  • Cartoon or vastly exaggerated characters that would look uncanny in my style.

  • Robots, mechanical creatures.

  • Copying someone else's OC design.

  • When in doubt if something is ok or not, please ask before placing your order!


General

  • I reserve the right to deny any request, or to cancel and refund at any point.

  • I reserve the right to make changes to these terms and my pricing at any time. Any changes made will not apply retroactively, that means when you order your commission, the terms and pricing that apply are those at the time of ordering.

  • All artwork will be in my own style which can be seen in the examples. I won't copy someone else's style.

  • Both parties agree to keep any sensitive or personally identifying information private.

  • Average turnaround is around one week for a portrait and two weeks for a full character from start to finish. There might be a waiting list/queue.

  • The order of commissions is first come first serve, unless a rush fee is paid. In this case, the buyer moves to the top of the queue. If you have a specific deadline for your artwork, please ask before ordering if my current schedule can accommodate this.

  • Depending on the type of work you request, I may ask you to sign a written contract, especially when fanart is involved. If you are not of legal age, you must have your parent or legal guardian sign the contract.


Payment

  • Payment via Ko-fi (Paypal), or directly by Paypal. I also accept bank transfer from EU banks.

  • I only accept EUR or USD.

  • If you live in the EU, 7% VAT will be added to the final price.

  • Payment must be made up front before I start working. Only fully paid orders will secure their slot in the queue. A 50/50 arrangement can be acceptable in some cases.

  • If you are underage, you must have your parent or legal guardian process the payment for you. In all other cases, I will only accept payment from the person requesting the commission. No payments from third parties.

  • The final artwork is a digital file that will be delivered by email or an upload service. No physical products will be sent.


Cancellation

  • You may cancel your commission at any time by sending written notice to me by email. By doing so, you agree to compensate me as follows:

  • No work: If you cancel before the first sketch is done, you will receive a full refund.

  • Partial completion: If I have partially completed the artwork to any point between the sketch stage and before full completion, you agree to compensate me at 50% of the full price. That means I will refund you the difference.

  • Full completion: If I have completed the finished artwork at the time of cancellation, you agree to compensate me in full. That means there will be no refunds.

  • In case you cancel at partial completion, I retain all rights to the artwork and works in progress. Sketches or partial work may not be colored or finished by you or a third party, or any AI tools. The below mentioned usage rights only apply to the finished work.

  • In case you become unresponsive for a period of over two weeks while I'm working on your image (without prior notice), I may drop the work and consider the project cancelled. There will be no refunds.

  • In case I cancel the commission from my end, you will receive a full refund.

  • You are not authorized to issue a chargeback for any reason.


Process and revisions

  • I always work closely with my clients and send several works in progress to make sure we are always on the same page. You will receive at least three stages of the artwork, sometimes more depending on the complexity of the artwork: A sketch (sometimes several) - A rough color pass - The final artwork.

  • Large scale changes (big redraws, pose edits, outfit changes) are only acceptable at the sketch stage, with a limit of two rounds of revisions. After color is added, I will only make color changes and small corrections, unless an hourly fee is paid for these additional revisions.

  • Obvious mistakes on my part will be fixed free of charge.

  • I reserve the right to deny any changes that I feel would compromise the quality of the piece.


Usage rights and permissions

  • These usage rights apply only to the finished artwork. Exception: if you specifically commission a sketch or color sketch only, that will count as the finished artwork.

  • Any commercial usage is not permitted by default. You can purchase commercial rights as an add-on.

  • You may post the finished artwork to your personal (non-profit) website or social media (including reuploads, profile pictures, banners, etc.).

  • You may also use it in an unmonetized YouTube video, Twitch stream or other video format.

  • You may use the artwork to make prints or other goods for yourself or as gifts.

  • You may not alter the artwork in any way (except for cropping or resizing when needed).

  • Using the artwork as part of a brand (such as a logo, a channel avatar, or a Vtuber character) is not permitted.

  • The artwork may not be used in any blockchain-related technology, including NFTs, or used in the training of an AI model.

  • The original artwork remains my property. You cannot claim ownership over the artwork in any way, and you cannot claim that you made it. The character remains your property (or the property of the rights holder in the case of fan art).

  • I may use the artwork (including works in progress) in my portfolio and other self-promotional purposes including posting on social media. If you'd like your character to remain completely private, you must let me know beforehand. Private commissions come with an extra fee.

  • You may ask me to delay posting the artwork until a certain date (within reason). A date more than half a year in the future will count as a private commission.

  • I may reuse discarded sketches and other unused preliminary work for future projects or future ideas for other artworks.
